Welcome to the Offboarding FMS. This guide outlines how to use the system for managing employee separations.
1. Initiating an Offboarding Entry
- Click the "Initiate Offboarding" button. This should open the designated Google Form (ensure the URL is correctly set in the script).
- Fill in the Google Form with all offboarding details (Employee Name, UID, Resignation Date, etc.) and submit it.
- New entries will appear in the FMS table after the next data sync (click 🔄).
2. Viewing and Managing Entries
- All active offboarding cases are listed in the main table.
- Use the search bar to find specific entries (e.g., by UID, Employee Name).
- Use the filters to narrow down by Status, Date, etc.
- Click the 👁️ icon for detailed information and to take actions.
3. Processing Through Offboarding Stages
- Open Entry Details by clicking the 👁️ icon. The "Offboarding Stage Processing" section shows the pipeline.
- For each pending stage, a "Take Action" button (e.g., "Mark Exit Interview Complete") will be available.
- If the `Take Action (...)` field for that stage contains a Google Form URL, clicking the button will open that Google Form in a new popup modal. After you submit the form and close this popup, the FMS will attempt to sync the data.
- If the `Take Action (...)` field is empty or contains plain text instructions, clicking the button will open a confirmation popup. Review instructions, then click "Mark Complete" to update the stage.
- The system automatically updates the entry's status and refreshes the view after a stage is marked complete.
- Follow through all stages: Reason Clarification, Exit Interview, Resignation Approval, Role Transfer, Asset Handover, Documentation, and Full & Final Settlement.
4. Task Responsibilities
- Click the “Responsibilities” button to view details on who typically performs each stage.
5. Syncing Data
- Click the 🔄 Sync icon in the top header to refresh and load the latest data from the Google Sheet.
🔧 Important Notes for Offboarding FMS:
- For support, contact your system administrator.
- Ensure you have the correct permissions to access and modify offboarding entries.
- Always keep the backend Google Sheet URL updated in the code to ensure proper functionality.
- Regularly check for updates or changes in the offboarding process.
- Use the search and filter options effectively to manage large volumes of offboarding entries.
