Entry Details
How to Use Accounts FMS 2.0
Welcome to the Accounts FMS 2.0. This guide outlines how to use the system for managing payment details and processing stages.
1. Adding a New Entry (Payment Details)
- Click the "Add Entry" button. This will open a Google Form in a new tab.
- Fill in the Google Form with all necessary payment details (Party Name, Payment Amounts, Mobile, Comments, etc.) and submit it.
- The UID and Timestamp are typically auto-generated or managed by the form/sheet.
- New entries will appear in the FMS table after the next data sync (click the 🔄 icon).
2. Viewing and Managing Entries
- All recorded entries are listed in the main table.
- Use the search bar to find specific entries by any field.
- Click on table headers (e.g., UID, Timestamp, Party Name) to sort the records.
- Click the 👁️ icon in a row to view detailed information for an entry.
3. Processing Entries Through Stages
- Open Entry Details by clicking the 👁️ icon.
- The "Process Timeline" section will show the current stage of the entry.
- Stage 1 (Updating Status to MD and Submitting by Accounts Team):
- If the status is "Pending: Updating Status to MD and Submitting", a button labeled "Take Action" will be available.
- If the "Take Action (S1)" field for the entry contains a URL, clicking the button will open this URL in a new tab for the Accounts Team.
- Otherwise, clicking the button allows internal completion within the FMS.
- After action, the system (potentially after a sync) will update "Actual (S1)" and status to "Pending: Check Necessary Documents And Approve the same".
- Stage 2 (Check Necessary Documents And Approve the same by MD):
- If status is "Pending: Check Necessary Documents And Approve the same", a button labeled "Take Action" appears. If "Take Action (S2)" for the entry has a URL, the MD uses this external form.
- Once Stage 2 action is noted (internally or externally), the status becomes "Awaiting Approval: Check Necessary Documents And Approve the same".
- At this point, "Take Action" buttons will appear for the MD to check documents and finalize (Approve/Reject).
4. Task Responsibilities
- Click the “Responsibilities” button to view who is assigned to each task/stage.
5. Syncing Data
- Click the 🔄 Sync icon in the top header to refresh and load the latest data from the Google Sheet.
